If one of your pupils hasn’t been engaging with their MyTutor sessions - for example, if they miss more than 2 or 3 sessions in a row - we recommend replacing them with new pupils from your reserve list to help another pupil who may engage better. It's super easy to swap in a new pupil in their place from your teacher account.
How to swap one pupil
Go to your Pupils tab and click on the ‘Replace Pupil’ button to the right-hand side of the pupil you’re replacing.
You can either put an existing pupil in their place, or set up a totally new pupil - you’ll see this pop up prompting you to enter their details:
Once the details are confirmed, you'll be able to view their username and password from your Pupils page, and the tutor will be notified that the pupil has been replaced.
Where possible, we advise doing this with 24 hours notice to give the tutor enough time to prepare a lesson plan for their new pupil.
How to move a pupil from one group to another on a 3:1 programme
This is only possible if you are swapping pupils between lessons that are at different times! Our system will not let a pupil have two lessons at the same time.
To do this:
- Follow the same process as shown in screenshots
- Swap out your pupil into the new group
- Next, use the same process swap in a new pupil in their place from your reserve list (this means that the pupil will be in two groups temporarily)
It's worth noting that: - The NTP requires pupils' date of birth, Unique Pupil Number, Pupil Premium and SEND status to be provided for validation so make sure you have those details to hand to fill in.

How to replace a larger cohort of pupils
If you want to make a larger replacement for a number of pupils, simply email in to schools@mytutor.co.uk with a Pupil Details Form (or other form of spreadsheet) highlighting exactly what changes need to be made - our frontline team can then action this for you.
How to swap in a pupil who wants their lesson at a different time
